The Finance Assistant supports the day-to-day finance administration of the MDPI Korea office. The role reports directly to the Head of Finance, with secondary line management from the local Office Manager and/or Representative Director, Korea.
The position supports both the local Korea office and the Finance team at MDPI Headquarters (Basel, Switzerland) in financial administration, bookkeeping support, monthly reporting, audit preparation, and communication with the external accounting provider. As part of our commitment to fostering a collaborative team environment, this role requires working fully on-site.
Tasks & Responsibilities
• Assist with day-to-day financial operations, including expense forecasting and preparing cost reports.
• Review travel expenses, reimbursements, vendor invoices, receipts, and other financial requests before submission for approval.
• Maintain monthly office expense files and support the preparation of payment files, including supporting documents for travel expenses, salaries, and monthly operating expenses.
• Assist with monthly accounts reconciliation, including cost files and checks against local accounting records.
• Assist with the preparation of information required for local statutory reporting, VAT returns, tax filings, and other government reporting requirements, in cooperation with external accounting and tax advisors.
• Support internal and external audit processes by collecting documents, preparing supporting files and following up on requested information.
• Prepare and submit recurring finance-related applications and reports through local platforms, where applicable.
• Provide monthly headcount and other finance-related information to the relevant internal teams when required.
• Support the MDPI Headquarters Finance team by sharing relevant updates on local finance, accounting, or tax matters when needed.
• Support updates to local finance procedures and internal guidelines by collecting information and keeping records up to date.
• Perform other ad-hoc finance tasks as assigned.
• All meetings and schedules must be managed in Microsoft Outlook calendar / MDPI system.
Requirements
• Educational background: Bachelor’s degree in Finance, Accounting, Business Administration, or a related field.
• General work experience: 2+ years of experience in finance, accounting, bookkeeping, or office financial administration.
• Hard skills: Good understanding of basic accounting principles; knowledge of Korean accounting and tax requirements is an advantage; advanced MS Office skills, especially Excel; strong numeracy and ability to work accurately with financial data and supporting documents.
• Soft skills: Strong attention to detail; good organisational skills and ability to meet deadlines; good communication skills in English; ability to work with both local and international finance stakeholders; reliable, discreet, and able to handle financial information confidentially.
• Must have Korean citizenship and the right to work and reside in the Republic of Korea.
